Setting Deadlines, Priorities, and Task Statuses

Clear deadlines, priorities, and statuses are essential for keeping projects on track. In WorkOwl, these features work together to help you plan efficiently, manage workloads, and monitor progress without confusion. This guide explains how to set them up and use them effectively for better task management.


Step 1: Adding a Deadline to a Task

Deadlines give structure to your workflow and help everyone stay aligned on timelines.

To set or edit a task deadline:

  1. Go to your Project → Tasks Tab.
  2. Click the task you want to edit.
  3. In the task details panel, locate the Due Date field.
  4. Select a date from the calendar.
  5. (Optional) Add a start date to define when the task should begin.

Once saved, deadlines appear in your project views—including Timeline, Board, and Calendar—and send automatic reminders to assigned team members as the due date approaches.

Tip: Use both start and end dates for larger tasks or multi-day assignments.


Step 2: Setting Task Priorities

Priorities help your team focus on what matters most. Each task in WorkOwl can be marked as low, medium, or high priority.

To set a priority:

  1. Open the task details panel.
  2. Find the Priority dropdown.
  3. Select the appropriate level.

When to use each level:

  • High Priority: Urgent or critical tasks that directly impact project delivery.
  • Medium Priority: Important work that can follow after urgent tasks.
  • Low Priority: Optional or non-urgent items that can be completed when time allows.

Tip: Encourage your team to update priorities regularly. Priorities can shift as projects evolve, and keeping them current ensures everyone’s efforts align with project goals.


Step 3: Updating Task Status

Statuses track progress and help teams see what’s happening at a glance.

Each task in WorkOwl includes a Status field with options such as

  • To Do – The task is created but not yet started.
  • In Progress – Work is currently underway.
  • Review – The task is awaiting feedback or approval.
  • Completed – The task is finished and approved.

To update a status:

  1. Open the task or hover over it in your task list.
  2. Click the Status dropdown.
  3. Choose the most accurate status for that task.

You can also drag tasks between columns in Board View to automatically update their status.

Tip: Consistent status updates help project managers identify delays early and adjust schedules proactively.


Step 4: Using Deadlines and Priorities Together

WorkOwl is designed to make your planning efficient by connecting deadlines and priorities in one view.

For example:

  • Filter your tasks by upcoming deadlines to see what’s due soon.
  • Sort tasks by priority to focus on the most critical work first.
  • Combine both filters to create a clear, action-focused daily task list.

This helps you and your team balance urgency with importance—preventing missed deadlines and uneven workloads.


Step 5: Monitoring Task Progress

Once deadlines, priorities, and statuses are set, you can track overall progress in several ways:

  • Project Overview: Displays completion percentage and active deadlines.
  • My Tasks: Shows all tasks assigned to you with due dates and priorities.
  • Workload View: Helps identify team members who are overloaded or underutilized.
  • Notifications: Keeps everyone informed when due dates change or statuses are updated.

To make the most of these tools:

  • Set clear and realistic deadlines for every task.
  • Update priorities weekly to reflect shifting project needs.
  • Encourage team members to change task status as soon as progress is made.
  • Use filters and views to stay on top of upcoming or overdue work.
