When you’re managing multiple clients, quick organization is key. With WorkOwl’s filtering tools, you can instantly find clients based on their status, CRM owner, or tags—making it easy to stay focused, prioritize work, and never lose track of important relationships.
Why Filters Are Useful
Filtering helps you:
- Quickly locate active or inactive clients
- Review which team members manage which accounts
- Group clients by categories, industries, or engagement type
- Prepare reports or check-ins without scrolling endlessly
Think of filters as your smart search assistant—fast, flexible, and customized to your workflow.
Step 1: Go to Your Clients Page
- From your dashboard sidebar, click Clients.
- You’ll see your full list of client accounts—including names, owners, and statuses.
- At the top of the page, you’ll find the Filter Panel with options to refine your view.
Step 2: Filter by Client Status
Statuses help you track where each client stands in your workflow.
Common examples:
- Active – Currently working with your team
- Pending – Onboarding or awaiting approval
- Inactive—No current projects but still in contact
- Archived – Past clients for record-keeping
To filter:
- Click the Status dropdown.
- Select one or more statuses.
- Your client list will update instantly to show only the matching records.
Use “Active” filters daily to focus on current clients, and “Pending” for onboarding check-ins.
Step 3: Filter by CRM Owner
Want to see which clients are managed by specific team members?
- Click the CRM Owner filter dropdown.
- Choose a team member’s name.
- You’ll see all clients assigned to that person.
This is perfect for managers reviewing workload distribution or team performance.
Step 4: Filter by Tag
Tags are fully customizable labels you can apply to clients—for example:
- “VIP”
- “Marketing”
- “Retainer Client”
- “High Priority”
- “Prospect”
To use this filter:
- Click the Tag dropdown.
- Select one or more tags.
- The list will refresh to show clients that match those labels.
Combine multiple tags for powerful, specific searches—e.g., “VIP + Active.”
Step 5: Combine Filters for Precision
You can apply multiple filters together for ultra-specific results.
For example:
Show me all active clients owned by Sarah with the tag “Marketing.”
This makes it easy to focus on just the clients that matter most to your current goals.
Step 6: Clear or Save Your Filters
- Click Clear Filters to reset your view anytime.
- Some WorkOwl plans also allow you to save filter views, so you can quickly return to your favorite setups (like “Pending Clients” or “Sarah’s VIP Accounts”).
Saving filters saves time—especially for large teams or agencies.
