How to Filter Workload by Role or Project

When managing multiple projects or teams, it’s important to focus on relevant tasks and team members. WorkOwl allows you to filter workload views by role or project, helping you quickly identify priorities, monitor progress, and balance assignments effectively.

1. Understanding Filters in WorkOwl

Filters allow you to customize the workload view so you only see the information you need. Key filtering options include:

  • Role: Focus on team members with specific roles, such as Admin, Manager, or Member.
  • Project: Narrow the view to tasks associated with a particular project.
  • Assignee, Status, Priority, or Due Date: Combine with role or project filters for a more detailed overview.

Using filters helps you manage your workload efficiently without being overwhelmed by unnecessary information.

2. Filtering by Role

To view workload by role:

  1. Go to Workload → Team Overview in your dashboard.
  2. Click the Filter option at the top of the page.
  3. Select a role from the dropdown.
  4. Choose the role you want to view (e.g., Manager, Member).
  5. The dashboard will update to show only team members with that role and their assigned tasks.

Tip: Filtering by role is useful when assigning tasks or reviewing progress for a specific level of responsibility.

3. Filtering by Project

To focus on a single project:

  1. Open Workload → Project Filter.
  2. Select the project you want to view.
  3. The dashboard will display only the tasks and subtasks linked to that project across all team members.

You can combine this with other filters, such as role or priority, to get a detailed and targeted view.

4. Combining Filters

WorkOwl allows multiple filters at once:

  • Example: Filter by Project X and Members with the role “Developer” to see only the developers working on that project.
  • Example: Filter by High-Priority Tasks and Project Y to identify urgent work for a specific project team.

Combined filters help managers make fast, informed decisions without manually sorting tasks.

5. Benefits of Filtering Workload

  • Quick Focus: Instantly see relevant tasks or team members.
  • Balanced Assignments: Identify if specific roles are overloaded on a project.
  • Better Planning: Make role- or project-specific adjustments to deadlines and priorities.
  • Clear Reporting: Generate filtered reports for stakeholder updates or internal reviews.

6. Best Practices

  • Regularly use filters to monitor workload for specific roles or projects.
  • Combine filters with timeline or progress views for a complete picture.
  • Save frequently used filter combinations as custom views for faster access.
  • Review filtered views during weekly planning to ensure balanced workload distribution.

  • Use role filters to focus on specific levels of responsibility.
