Linking Projects and Tasks to Specific Clients

In WorkOwl, keeping your projects and tasks linked to the right clients ensures everything stays organized and easy to manage. Whether you’re handling one client or multiple, connecting each project and task helps track performance, share updates, and build stronger client relationships.


Step 1: Add or Select a Client

Before linking a project, make sure your client profile exists.

  • Go to the Clients tab in your sidebar.
  • Click Add New Client if you haven’t added them yet.
  • Enter their basic details (name, company, and email).
  • Click Save.

Tip: Each client profile acts as a central hub for all related projects, tasks, and communication.


Step 2: Create a New Project and Link It to a Client

  1. Navigate to the Projects tab in your sidebar.
  2. Click “New Project.”
  3. Enter your project details:
    • Project Name
    • Description or objectives
    • Start and due dates
  4. Under the Client dropdown, select the client you want to link the project to.
  5. Click Create Project.

Your new project will now appear under that client’s profile automatically.

If you forget to assign a client during project creation, you can always edit the project later to add one.


🧩 Step 3: Add Tasks Under Linked Projects

Once a project is connected to a client, all the tasks you create under it will automatically be associated with that client too.

  1. Open the project linked to your client.
  2. Click “Add Task.”
  3. Fill in the task details:
    • Task name
    • Assigned team member
    • Deadline
    • Priority level
  4. Click Save.

Now, the task will appear in both the project view and the client’s activity overview.

You can filter all tasks by client in your Tasks section for quick overviews and progress checks.


Step 4: Link Existing Projects to Clients (Optional)

If you already have projects in your workspace that aren’t linked to a client yet:

  1. Go to Projects.
  2. Open the project you want to link.
  3. Click Edit Project.
  4. In the Client dropdown, select the appropriate client.
  5. Click Save Changes.

All existing tasks under that project will automatically sync to the client’s record.


Step 5: View Linked Work by Client

To see all projects and tasks associated with a specific client:

  • Open the Clients tab.
  • Click on a client’s name.
  • You’ll see all linked projects, progress summaries, and recent activity in one view.

This makes client reporting simple—everything you’ve done for that client is instantly visible.


Step 6: Manage Access & Visibility

You can control what your clients and team members can see:

  • Go to Project Settings.
  • Under Visibility, choose whether a client can view progress or comment.
  • For internal projects, simply keep them private (visible to your team only).
