Understanding your team’s workload helps you plan better, avoid burnout, and keep projects running smoothly. With WorkOwl, you can instantly see what each team member is working on—their active projects, upcoming deadlines, and overall task load—all from one place.
Why Workload Visibility Matters
Having clear insight into who’s doing what makes it easy to:
- Balance workloads across your team
- Prevent overlapping assignments
- Identify bottlenecks early
- Keep your team productive and stress-free
Think of this as your “bird’s-eye view” of your team’s capacity—powered by WorkOwl.
Step 1: Navigate to the Team Dashboard
- From your sidebar, go to Teams → Members.
- You’ll see a list of all team members in your workspace.
- Each member’s name shows a quick snapshot of:
- Active projects
- Tasks assigned
- Deadlines due soon
Admins and managers can view all team members’ workloads, while regular members can see only their own assignments.
Step 2: Open an Individual Member Profile
- Click on a team member’s name to open their detailed profile.
- Under the Workload Overview tab, you’ll find:
- Total number of assigned tasks
- Tasks in progress vs. completed
- Upcoming due dates
- Linked projects and clients
You can sort tasks by priority, deadline, or project to quickly identify where their focus lies.
If a member’s workload looks heavy, consider reassigning or adjusting due dates for better balance.
Step 3: Use the Workload Chart View
For a visual snapshot of your team’s capacity:
- Go to Teams → Workload View.
- You’ll see a bar or timeline chart showing each team member’s assigned hours or tasks over time.
- Hover over each section to see details like
- Project names
- Task count
- Time estimates
This is ideal for weekly planning meetings or when assigning new work.
Step 4: Adjust Workload in Real Time
If you notice that someone’s workload is too high or too light:
- Open the relevant project or task.
- Click Edit Task → Assigned To.
- Choose another team member if needed.
- Save your changes.
The workload view will automatically update to reflect the change.

Step 5: Filter by Client or Project
Need to see workload distribution for a specific client or project?
- Use the Filter by Client or Filter by Project options at the top of the Workload View.
- This helps you see who’s handling which client and how their time is being spent.
Especially useful for managers handling multiple client accounts or project phases.
