Assigning a CRM Owner to Each Client Account

In WorkOwl, every client account can have a CRM Owner—the primary person responsible for managing that client relationship. Assigning a CRM owner helps your team stay organized, ensures clear accountability, and keeps communication consistent across all projects and touchpoints.


What Is a CRM Owner?

A CRM owner is the team member who acts as the main point of contact for a client inside WorkOwl. This person oversees the client’s projects, updates, and correspondence, helping everyone know exactly “who owns what.”

Think of the CRM owner as the client’s dedicated manager within your workspace.


Step 1: Go to the Client Profile

  1. From your dashboard sidebar, click Clients.
  2. Select the client you want to assign an owner to.
  3. You’ll be taken to that client’s profile page, where you can view details, projects, and activity.

Step 2: Assign a CRM Owner

  1. Click on the Client Settings or Edit Client button (⚙️ icon).
  2. Look for the CRM Owner dropdown field.
  3. Choose a team member from the list (Admin, Manager, or Member).
  4. Click Save Changes.

The selected person will now appear as the CRM owner for that client, visible to the rest of your team.

Only users with manager or admin roles can change CRM ownership.


Step 3: Reassign or Update Ownership (If Needed)

You can change the CRM owner anytime:

  1. Open the client profile.
  2. Click Edit Client.
  3. Select a different team member under CRM Owner.
  4. Save your changes.

The new owner will immediately receive a notification and access to the client’s projects and notes.

Useful when clients are handed off to a different account manager or department.


Step 4: View Clients by CRM Owner

To quickly see which clients each team member manages:

  1. Go to the Clients tab.
  2. Use the Filter by CRM Owner option at the top.
  3. Select a team member’s name to view all their assigned clients.

This makes it easy to balance workloads and ensure no client is left unattended.


Step 5: Manage Access Permissions

CRM owners automatically have access to:

  • The client’s profile and contact details
  • Related projects and tasks
  • Notes, attachments, and comments

You can adjust additional permissions under Team Settings → Roles & Access.
