How to Add and Manage Client Profiles in WorkOwl

In WorkOwl, your clients are at the center of everything you do. By creating detailed client profiles, you can keep projects, communication, and files organized—all in one place. This guide walks you through how to add, edit, and manage your client profiles efficiently.


Step 1: Go to the Clients Section

From your Dashboard, click on Clients in the left sidebar.
This section displays all of your active and archived clients in one organized list.

Tip: Use the search bar or filters to quickly find a specific client by name or company.


Step 2: Add a New Client

  1. Click “Add New Client.”
  2. Fill in your client’s basic information:
    • Client Name
    • Company (optional)
    • Email Address
    • Phone Number
    • Notes or Description (optional)
  3. Upload a logo or profile image to personalize the client profile.
  4. Click Save.

Once added, your client profile will appear in your main client list and can be linked to any project.

Tip: Add key contacts under each client (e.g., “Marketing Manager,” “Finance Lead”) for easy communication.


Step 3: Link Clients to Projects

You can associate clients with their projects to keep everything connected:

  1. Go to the Projects tab.
  2. Click New Project or edit an existing one.
  3. Under the Client dropdown, select the relevant client profile.
  4. Save your changes.

Now, that project will appear under the client’s profile page—giving you a full view of all related work.


Step 4: Invite Clients for Collaboration (Optional)

Want clients to view progress or share feedback directly? You can invite them to your workspace with limited access:

  1. Open the client’s profile.
  2. Click “Invite Client.”
  3. Choose the access level (view-only or comment access).
  4. Send the invite.

Your client will receive an email with a secure link to log in and view their projects.

Client collaboration improves transparency and saves time on status updates or file sharing.


Step 5: Manage Existing Clients

To view or edit client details:

  • Click the client’s name to open their profile.
  • Update information, upload new files, or add notes.
  • Click Save Changes when done.

To remove or archive a client:

  • Click the Options (⋮) icon beside their name.
  • Choose Archive (to hide but keep data) or Delete (to remove permanently).

Archiving is ideal for completed clients—it keeps your list tidy without losing project history.


Step 6: View Client Insights

Each client profile includes a summary view with:

  • Total active projects
  • Tasks completed
  • Team members involved
  • Recent updates or messages

Use this section to get a quick snapshot of client activity and performance at any time.
